Go left and you find a SaaS tool. Go right and you get stuck waiting for custom software. What if you go straight ahead? We'll work it out together, but first, why a business needs online booking at all.

Why a business can't do without online booking

When a company handles dozens or hundreds of requests a day, tracking bookings by hand quickly becomes a hole in the budget. Paper notebooks, Excel spreadsheets and personal calendars inevitably lead to chaos: front-desk staff mix up slots and schedules, clients can't book outside working hours, and employees can't see their own workload, so some burn out while others sit idle.

Most importantly, a manager can't monitor branch utilization because there is no data to manage with.

In this situation automation is no longer a whim but a condition for growth. Yet when choosing, managers often pick between two extremes: a cloud subscription or custom development. In fact there are three paths, and the one that pays off for mid-sized businesses often lies in the middle.

Three paths to automation: from renting to full ownership

Ready-made cloud service (SaaS)

You sign up on a platform, pick a plan and pay a subscription every month, six months or year. The logic, interface and servers belong to the vendor; you rent someone else's infrastructure.

Custom development from scratch

You hire a team of developers or an agency, describe the functionality you need, and the team builds a system to your requirements.

Adaptable ready-made platform (turnkey solution)

The starting point is a proven software core that the vendor deploys and configures for your services, staff roles and communication channels. You don't pay to write code from scratch, and you aren't boxed into someone else's templates.

What an online booking system should do

  • working hours, breaks, time off, rotating specialist schedules and quick adjustments when someone calls in sick.
  • a booking form that works the same on desktop and mobile, letting clients choose a branch, service and specialist in a few clicks.
  • different permissions for a specialist, a branch administrator and a chain manager.
  • a taken slot disappears from every booking channel at once, a freed one reappears, and administrators change schedules instantly.

The catch with standard cloud services

A standard service looks ideal: an affordable subscription, launch in anything from 15 minutes to a couple of days, tech support and a clear interface. That holds true if you run a micro-business and don't plan to scale. Otherwise:

  • You pay for growth. Many platforms charge per employee or per branch. Grow the team from 5 to 15 people or open two more branches, and the bill multiplies.
  • Someone else's workflows. The builder assumes a linear flow of "service, specialist, time." If a service has several stages, such as a complex car repair or a series of consultations with different doctors, you end up bending your business to the system instead of the other way around.
  • Your data sits with the provider. Your client base and visit history live on the service's servers. Exporting in a usable format is often restricted, which makes switching platforms hard.

The custom code trap: what a system from scratch really costs

Custom development gives you freedom: any interface, sophisticated workload-distribution algorithms, any integration. But mid-sized businesses often underestimate the total cost of owning such a product.

The budget usually covers only the development estimate. After release, unplanned costs appear:

  • Server maintenance and protection of personal data.
  • messengers, calendars and payment gateways change their APIs, and a homegrown system stops working until it is fixed at your expense.
  • if your in-house programmer leaves, the system becomes a black box.

Building from scratch is justified if online booking is the core of your product (for example, you are building your own delivery service) and you have an in-house IT department. In every other case it is a high risk for your budget.

A ready-made solution with customization: the middle ground

The third path is a ready-made system adapted to your needs.

  • Only the features you need. You name the functions you want, and the team adds them to the ready-made system and removes the rest. Complex scenarios are configured for your business.
  • A reasonable price. Implementation costs more than a month of subscription, but you pay once, with no limits on the number of employees or branches, and it costs many times less than building from scratch.
  • Independence from the vendor. The code and data belong to you, and the system can be hosted in the cloud, on your own servers or in an isolated environment.

How to calculate the real benefit

Don't look at the price of the first month. Calculate the total cost of ownership over at least three years.

A cloud service that cost RUB 3,000/month at the start often ends up at RUB 25,000/month two years later, after you open several branches and add messengers and integrations. Over three years that is just under RUB 1 million spent renting software you will never own.

By comparison, an adaptable platform with a one-time implementation fee pays for itself by month 10–12 of operation.

Run your own numbers

The subscription costs RUB 3,000 a month and will grow to RUB 25,000 over 24 mo. Own system — setup RUB 50,000 and hosting a month RUB 2,000.

Illustrative formula: the subscription grows evenly, own-system hosting is an assumption. Drag the numbers or use the arrow keys.

5 questions for the final decision

  1. How far does your process depart from a linear one? Non-standard rules, combined services, strict role separation: if even one applies, a standard cloud service won't fit.
  2. Do you plan to grow? If you will have several times more employees and branches in a year, SaaS will become very expensive.
  3. Do you have a budget for an IT team? If not, or if you would rather invest in scaling, building from scratch is not for you.
  4. Where must the data be stored? If security and independence from outside factors are critical, the system should run in your own environment.
  5. Do you need results fast? If you need automation within a month, choose a ready-made solution with customization. If you have six months or more in reserve, building from scratch is an option.

The third path from AdminGuide

We offer exactly that third path: we don't lock you into a monthly subscription, and we don't make you pay for months of designing from scratch.

The AdminGuide online booking system is built on a proven core: booking through your website and bots in Telegram, WhatsApp and Facebook, schedules and specialist workload, roles and access rights, and Google Calendar sync. We customize CRM integration, multi-branch operation and other scenarios to fit your task.

You pay only for what you need. If you don't need advanced analytics, we don't add it, and you don't pay for it. Payment is one-time, the price is calculated for your requirements, and launch takes from 14 days.
